Effective Use of Time Management Tools and Checklists

Businesses are placing more demands on workers than ever before. You, however, have more control than you might think. Developing an effective time management strategy and creative time management skills can be the key to being more efficient at work.

The purpose of effective time management checklists is to help you break apart important projects into smaller pieces.

Prioritize your tasks. Look at your list of uncompleted projects and prioritize them, taking into consideration deadlines. Then, take Project A and break the project into tasks that need to be finished before the project is completed.

After you have a list of tasks, prioritize them. Assign deadlines for each task and note them in your computer, calendar or day timer.

Delegate assignments. You need to delegate at least some tasks to others. While you may want to keep complete control of your project, you may simply not have the time to do so. In addition, delegation is a great way to help your employees develop their skills and increase their sense of worth to the organization. Make sure that your employees understand the importance of the due dates that you assign to the tasks.

Be prepared for the unexpected. Write down a list of potential distractions and ways that you might avoid them. You may choose to let your phone go to voicemail for a period of time every day or shift your work hours so that you can work when there are fewer people in the building.

Adjust your schedule. Keep in mind that once you have produced a time table for a given project, the time table (except for the final deadline), is not written in stone. You may have other, more urgent priorities fall onto your lap. You may even get ahead of your goals. Revise your schedule as needed so that you can stay on top of your projects.

The most effective use of time management checklists is to put them together and consistently follow them. While it may seem like you are spending too much time on this, the end result will actually save you time, give you more a sense of control over your work life and reduce your stress levels.
