Good tips for organizing electronic files can save you minutes or hours searching through a cluttered computer for that file you just can’t seem to find. Create and utilize a good electronic file system that works for you in order to enhance your productivity and cut the amount of time you spend digging through your computer for files.

Create and use subfolders.
The directory-based electronic file system provides a wonderful way to organize your files. One way in which you can easily organize your files is to create and use subfolders. For example, don’t just pile everything into the MyDocuments folder. Create subfolders for homework, bill files, vacation planning; whatever you do regularly warrants its own subfolder. Then you can easily put your hands on the right subfolder to find the document you need. If you find yourself with many documents within a folder, you might want to file further by date, type or account; create as many folders as you need to find the files you want.

Consider naming by date.
If you need access to files from a specific date, you can name your subfolders by date in order to keep track of them easily. This works great for photos. Sort vacation photos by date, or even photos you take of the kids or family. When you’re looking for photos years from now, you can just skip to the appropriate date range and easily find the photos you need. One example would be 12.24.08 Christmas Eve Family Photos. Putting the date first means your files are automatically ordered by date. Adding a description makes it easy to spot exactly the files you need even if you can’t remember the exact date you’re looking for.

Use descriptive file names.
Be as descriptive as possible in your file names. When possible, include the subject, date and even recipient of the file so that you can easily find files you need. If you exchange correspondence often, for example, you might want to title a file something like “1.20.09 letter to jane re babysitting”. By adding a date to the beginning of the filename, you can sort documents by date. Adding the recipient and subject also makes it easy to find exactly the document you need without having to go through and open all of your files.

Be consistent.
The biggest rule to remember with any electronic file management is to be consistent. When you create a system, stick with it. If you use certain rules when naming your documents, always use those rules. The best system in the world is useless if you don’t do it every single time because the one time you forget inevitably involves the one file you’ll need to find later.

Purge and backup regularly.
One of the most important elements of any organization is regular backup. Install a backup program to remind you and automate the process. Also, schedule regular times to sit down and clean out your files. You can archive files from last year and probably delete files you haven’t used in several years. Avoid electronic clutter; just because you have the hard drive space doesn’t mean you have to use it to store everything.
